Submissions

Welcome to the Submissions page. This guide will walk you through everything you need to know about managing, reviewing, and processing the data that comes in through your published templates. Whether you are collecting form responses, gathering feedback, or managing applications, the Submissions page is your central hub for all incoming data.

Tip: The Submissions page is where your templates come to life – transforming static designs into dynamic, data‑driven tools that capture real user input.

The Submissions List

The Submissions List is the main view of the Submissions page. It displays all submissions in a sortable, filterable table format, making it easy to find and manage specific entries.

Viewing Submissions

When you open the Submissions page, you are presented with a table that lists all submissions across all your templates. Each row represents a single submission and contains key information:

TemplateThe name of the template that was submitted.
SubmittedThe date and time the submission was made.
StatusThe current status of the submission (Pending, Approved, Rejected).
ActionsButtons for viewing, editing, or deleting the submission.
  • Scroll – the table is scrollable, allowing you to browse through large numbers of submissions.
  • Sort – click on column headers to sort by that column (e.g., by date, status).
  • Select – check the checkbox to select individual submissions for bulk actions.

Understanding Submission Status

Each submission is assigned a status to help you track its progress through your review workflow.

PendingThe submission has been received but not yet reviewed.Amber
ApprovedThe submission has been reviewed and approved.Green
RejectedThe submission has been reviewed and rejected.Red
  • Workflow management – track which submissions need attention.
  • Quality control – separate approved submissions from those that need revision.
  • Reporting – generate reports based on status (e.g., approval rate).

Search and Filter

To help you find specific submissions, the Submissions page provides powerful search and filter capabilities.

Filter by Status

Click on the status chips at the top of the page to filter submissions by their current status:

  • All – all submissions regardless of status.
  • Pending – only submissions that need review.
  • Approved – only submissions that have been approved.
  • Rejected – only submissions that have been rejected.

Filter by Template

Use the template dropdown to filter submissions by a specific template. This is useful when you have multiple templates and want to focus on a single one.

Search by Keyword

Use the search box to search across submission data. The search looks for matches in template names, submitted field values, and other metadata.

Combined filtering: You can combine filters – for example, filter by a specific template and a specific status simultaneously.

Managing Submissions

The Submissions page provides a range of tools for managing individual submissions and handling them in bulk.

Individual Actions

Each submission row includes action buttons for common tasks:

ViewOpens the submission detail view, allowing you to see the full data.
ApproveChanges the submission status to Approved.
RejectChanges the submission status to Rejected.
DeletePermanently removes the submission.

How to use: Locate the submission you want to manage, click the appropriate action button, confirm if prompted, and the submission will be updated or removed.

Bulk Actions

For efficiency, the Submissions page supports bulk actions, allowing you to apply the same action to multiple submissions at once.

Select AllSelect all submissions on the current page.
ApproveApprove all selected submissions.
RejectReject all selected submissions.
DeleteDelete all selected submissions.
DownloadDownload all selected submissions as a single file.
  • How to use: Check the checkbox next to each submission you want to include, click the action in the bulk actions bar, and confirm if prompted.
  • Bulk actions bar: Appears when at least one submission is selected, showing the number of selected submissions and buttons for each bulk action.

Deleting Submissions

Deleting a submission permanently removes it from the system. This action cannot be undone.

  • When to delete: Test submissions, spam, outdated data.
  • Individual deletion: Click the delete button in the Actions column.
  • Bulk deletion: Select multiple submissions and click Delete in the bulk actions bar.

Important: Deleting a submission is permanent. The data cannot be recovered. If you are unsure, consider rejecting the submission instead – it will be marked as rejected but will remain in the system.

Submissions Detail View

The Submissions Detail View provides a comprehensive look at a single submission, including the submitted data, the template it came from, and the submission status.

Previewing the Submitted Template

When you view a submission, you can see a rendered preview of the template as it was filled out by the user.

  • The template as it appeared to the user.
  • All fields filled in with the submitted data.
  • Uploaded files (if any) displayed within the template.

How to preview: Click the View button on a submission, and the preview modal will open.

Reviewing Field Data

Below the preview, the detail view displays all submitted data in a structured format:

Changing Submission Status

From the detail view, you can change the submission status.

  • How to change: Open the detail view and click the Approve or Reject button.
  • What happens: The status is updated in the system, and the submission appears under the new status in the main list.

Download and Export

The Submissions page provides powerful download and export capabilities, allowing you to extract data for offline analysis, reporting, or archiving.

Downloading Individual Submissions

You can download a single submission as a file.

  • How to download: Open the detail view and click the Download button.
  • When to use: Reviewing a single submission offline, sharing with a colleague, saving a copy for records.

Bulk Export

For larger datasets, you can export multiple submissions at once.

  • How to bulk export: Select submissions using checkboxes and click the Download button in the bulk actions bar.
  • When to use: Analyzing data in a spreadsheet, generating reports, archiving multiple submissions.

  • Volume – how many submissions you are receiving.
  • Workload – how many pending submissions need review.

Status Distribution

The status distribution gives you a quick visual overview of submission statuses.

  • What it shows: The proportion of submissions in each status (Pending, Approved, Rejected).
  • Why it matters: Identify bottlenecks (too many pending), measure quality (high approval rate), track performance.

Best Practices

Organizing Submissions

  • Use templates effectively – each template has its own submissions, so keep templates organized.
  • Review regularly – don't let pending submissions accumulate. Set aside time to review them.
  • Use statuses appropriately – don't approve submissions that are incomplete or invalid.

Review Workflow

  • Establish a review process – decide who reviews submissions and under what criteria.
  • Be consistent – apply the same standards to all submissions.
  • Provide feedback – if you reject a submission, consider providing feedback to the user.

Data Management

  • Export regularly – back up your submissions regularly to avoid data loss.
  • Delete test data – remove test submissions to keep your data clean.
